E-mail offers SCA extraordinary benefits in efficiency, ease, and
immediacy of communication. At the same time, those attributes leave
e-mail subject to abuse. These guidelines are an effort to enable
SCA to take advantage of e-mail, while discouraging improper uses.
1. The SCA e-mail list will be for official SCA use only.
2. Mailing to the entire SCA list is reserved for the Community
Manager, the SCA Board acting through the president, and pre-approved
uses such as periodic news announcements, holiday events, and eSCAN.
3. All official mailings will be "blind-copied." That
is, the addresses of the recipients will be hidden, so that the
list does not inadvertently get released to the general public in
its electronic form.
4. All official mailings will include the SCA as the return address,
and an "opt-out" notice so that members can remove their
e-mail address from the official database.
5. Individual members will not be allowed access to the list. There
will be no commercial or political use of the e-mail list, e.g.,
no real estate notices.
6. The Communications Committee (CC), in conjunction with the SCA
office, will maintain a list of those members wishing their e-mail
addresses to be removed from SCA's e-mailing list or printed in
the Annual Directory.
7. Currently, most members use e-mail addresses issued by their
Internet Service Providers. The CC is encouraging members to obtain
"Scientists' Cliffs" addresses, in the form "firstname.lastname@scientistscliffs.org."
The member then obtains access to an SCA mailbox, and is also able
to have all mail sent to his SCA address automatically forwarded
to any other e-mail address. The reason for this effort is twofold:
(a) if you know your fellow-member's name, you will know his or
her e-mail address; and (b) the official Scientists' Cliffs e-mail
addresses will be used to identify a member who wishes to visit
the private portion of the SCA website.
8. The CC will maintain a current list of e-mail addresses collected
from members, their families and from the SCA office (SCA) lists.
9. Any misuse of the e-mail list or e-mail practices of any SCA
member should be reported immediately to the CC or abuse@scientistscliffs.org
for appropriate action. The first misuse will result in a warning;
the second in suspension of access to private portions of website;
and the third is suspension of scientistscliffs.org e-mail privileges.
Affected members may appeal any of these sanctions to the Board.

blind copying
You should use "blind copying" whenever you send a message
to more than a few of your friends. Otherwise, you risk exposing
all of those addresses to the public eye -- and the attendant spam
and viruses that might result.
There are several techniques for blind copying, depending on your
e-mail program. In Outlook, select View/Headers to find the Blind
Copy window. In AOL, enclose the e-mail addresses that you want
"blind copied" inside parentheses.
attachments
Never download any attachments, even if they are from e-mail
addresses that you recognize, UNLESS you are certain that they
are valid. Many viruses are spread by programs that steal e-mail
addresses from innocent peoples' address books, and appear to be
personal messages from people you know.
